Privacy notice for Nova Roma Horizon Innovation Society (Ontario, Canada)

Nova Roma Horizon Innovation Society (“Nova Roma”, “we”, “us”, or “our”) respects your privacy. This notice describes how we collect, use, disclose, and safeguard personal information in connection with our websites, events, programs, newsletters, and related services (collectively, the “Services”), in accordance with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and, where applicable, substantially similar provincial legislation and other Canadian privacy requirements.

This notice applies to personal information we collect in the course of operating the Services from individuals in Canada and elsewhere, unless a separate privacy statement applies (for example, certain employment or grant contexts).

Who we are

Nova Roma Horizon Innovation Society is a Canadian non-profit organization. For privacy inquiries, contact us at hello@novaromahorizon.org or through our contact form. You may also write to us at the mailing address we publish on this site when available.

What personal information we collect

Depending on how you interact with us, we may collect:

  • Contact and identity information — such as name, email address, organization, and city or region.
  • Communication content — messages you send through forms, email, or event registration.
  • Event and program information — attendance, dietary or accessibility needs you choose to share, and related logistics.
  • Technical and usage information — such as IP address, browser type, device identifiers, general location derived from IP, and pages viewed, collected through logs and similar technologies.
  • Newsletter or subscription data — preferences and subscription status.

We aim to collect only what we need for the purposes described below.

How we use personal information

We use personal information to:

  • Provide, operate, and improve the Services, including our website and communications.
  • Respond to inquiries, process registrations, and administer events and programs.
  • Send newsletters or updates where you have subscribed or where permitted by law.
  • Protect the security and integrity of our Services and users.
  • Meet legal, regulatory, and insurance obligations.
  • Analyze aggregated or de-identified usage to understand how our Services are used.

We do not sell your personal information.

Under PIPEDA, we collect, use, and disclose personal information only for purposes a reasonable person would consider appropriate in the circumstances. We rely on consent where required (for example, for marketing emails), and on other permitted grounds such as implied consent for reasonable operational uses, or legal obligation where applicable.

When we share personal information

We may share personal information with:

  • Service providers who assist us (for example, hosting, email delivery, analytics, or event tools), under contracts that require appropriate protection of personal information.
  • Professional advisers such as lawyers or accountants when needed.
  • Authorities when required by law, court order, or lawful request, or to protect rights, safety, or security.

If we use service providers outside Canada, we take steps appropriate under PIPEDA to ensure a comparable level of protection through contractual means or other safeguards.

Cookies and similar technologies

We may use cookies, analytics, and similar technologies to remember preferences, measure traffic, and improve the Services. You can control cookies through your browser settings. Where required, we will obtain consent for non-essential cookies in line with applicable guidance.

Retention

We retain personal information only as long as necessary for the purposes above, including legal, accounting, or reporting requirements, and then securely delete or anonymize it.

Your rights

Subject to applicable law, you have the right to:

  • Access the personal information we hold about you.
  • Request correction of inaccurate or incomplete information.
  • Withdraw consent where processing is based on consent, subject to legal or contractual restrictions.

To exercise these rights, contact hello@novaromahorizon.org. We may need to verify your identity. We will respond within a reasonable time as required by PIPEDA.

If you are not satisfied with our response, you may complain to the Office of the Privacy Commissioner of Canada (opc.gc.ca) or, where applicable, a provincial privacy commissioner.

Children

Our Services are not directed at children under 13. We do not knowingly collect personal information from children without appropriate parental or guardian consent where required. If you believe we have collected such information, contact us and we will take steps to delete it.

Security

We implement reasonable administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, disclosure, alteration, or destruction. No method of transmission over the Internet is completely secure.

We may update this notice from time to time. The “Last updated” date at the top of this page will change when we do. We encourage you to review this page periodically. Continued use of the Services after updates means you accept the revised notice, except where additional consent is required by law.
